Cima

For LCDCs, LPCs, LCSWs and LMFTs who treat substance use

The EHR for counselors who treat addiction.

Intake assessments, progress notes, treatment plans and claims built for substance use and mental health work, with the 42 CFR Part 2 protections your clients count on. Simple enough for a caseload of one, ready for a 25-client program.

Solo plan: $59/month, claims about 30¢ each. No percentage of your sessions, ever.

What substance use work needs from an EHR

Built with the counselors at a licensed Texas IOP and PHP, for the notes, consents and claims you write every week.

Intake that covers use

The intake assessment asks for the presenting problem in the client's words, the substance use and psychiatric history, and your diagnostic impression, and bills as 90791 or H0001.

Notes tied to the plan

Progress notes with relapse prevention, motivational interviewing, CBT and the other interventions you use, written against the treatment plan's goals. Cima says what's missing before you sign.

Part 2, handled

Consents explain the extra federal protection for substance use records, and anything you release under a Part 2 consent carries the required notice to the recipient.

Safety first

PHQ-9 and GAD-7 done on the client's phone. A self-harm answer alerts you right away, and a moderate or high risk note needs your safety plan before you sign.

Between sessions

Fewer no-shows, less phone tag

  • Text reminders a day or two ahead; clients reply C to confirm. Texts never say what the visit is for.
  • Your own booking page, from your open hours.
  • Intake paperwork and consents by text, signed with a finger.
  • No-show and late-cancel fees in one click.

Getting paid

Claims that go out right the first time

  • Signing the note creates the charge with the code from the session length.
  • Each claim is checked for what payers reject before it goes: NPIs, member IDs, diagnoses, authorizations and filing limits.
  • Superbills for clients who pay you directly, and statements for what they owe.

Questions counselors ask

Can an LCDC bill insurance with Cima?

Cima puts your credential, NPI and taxonomy on the claim. Whether a plan pays for services by your license depends on the plan and your state; check each contract before you bill it.

Is Cima HIPAA and Part 2 compliant?

It's built for both. We sign a Business Associate Agreement with every practice. Records are encrypted and hosted in the US, people sign in with a passkey, Google or Microsoft, or a password plus an authenticator code, as the practice owner allows, and every chart view is logged. Consents and releases carry the 42 CFR Part 2 language; you decide what to release and to whom. How we protect your records.

Can I use it for group sessions?

Group notes, with each client's own entry and one PIN to sign them all, come with the Program plan.

Can I bring my clients from another EHR?

Yes. Export your client list as a CSV from SimplePractice, TherapyNotes or most other systems, or use a spreadsheet, and import it in minutes. How switching works.

Spend your evenings off the paperwork.

Free for 30 days. Set up in an afternoon.
