Claims and insurance checks
Claims and benefits checks go through our clearinghouse. Each one is charged at the clearinghouse's standard pay-as-you-go price, what a practice would pay it on its own, and added to your next monthly bill as one line.
Settings → Insurance shows how many you've sent this month and what they'll add. During the free trial they aren't charged, and the trial includes 75 real questions to payers (about 20 to 25 benefits checks).

For treatment center admissions
Quick VOB
Run a benefits check from the insurance card and see coverage, deductible, out-of-pocket and prior auth, by level of care. It works on its own, next to any EHR, for your whole admissions team.
Every question to a payer is charged at the clearinghouse's price. A check asks 1 to 3 for the kind of care, and one more for each level of care you pick (detox, residential, PHP, IOP, OP; at most 3 more). The $200 setup connects your NPI and taxonomy, runs your first checks with you and sets up your team.

Cima Consulting
Open a practice or a program for a flat fee, paid in parts as the work lands. Government, licensing and accreditation fees are paid by you directly. The first 30-minute call is free.

Billing questions
How does billing work?
Your plan, plus each added clinician, is billed monthly in advance to a card, through our payment processor. Claims and insurance checks from the month before are added to the next bill as one line. How this compares with other EHRs, and what to add up before you sign anywhere, is in EHR pricing explained. Prices don't include taxes.
What happens during and after the free trial?
Every plan is free for 30 days, and you don't need a card to start. If you subscribe before the trial ends, the first charge waits until the trial is over. If you don't subscribe, nothing is deleted: your records stay readable and exportable, and you just can't add new ones.
Is there a setup fee?
Not for Cima EHR. Quick VOB has a one-time $200 setup on its first bill. Cima Consulting's packages are flat fees, written in the proposal before you sign.
What happens when I add or remove a clinician?
Your bill follows the number of active clinicians: the plan covers the first, and each one after is $39 a month, prorated for the part of the month they're on. Billing and front-desk logins are always free.
Can I cancel any time?
Yes, from Settings → Subscription. Your plan runs to the end of the month you've paid for. We don't refund partial months, and there's no cancellation fee.
Can I take my data with me?
Yes, free, whenever you want: the whole practice, or one client's whole chart as a PDF. After you cancel, your records stay readable and exportable for at least 90 days.
What if a payment fails?
You have 7 days to update your card in Settings → Subscription, and everything keeps working meanwhile. After that the account is read-only until the card is updated. Nothing is deleted.
Will the price change?
If it does, we tell you at least 30 days ahead.
What if our program has more than 25 clients?
The Program plan covers up to 25 clients in the program at once. Running a larger program? Write to us and we'll work out the plan with you.
Do you take a percentage of what we collect?
Never. Not on Cima EHR, not on Quick VOB and not in Consulting. Our prices are flat and written down.
