Cima

For intensive outpatient and partial hospitalization programs

Run your IOP or PHP without the spreadsheet on the side.

Levels of care, group notes, attendance hours, per diem claims and continued-stay reviews in the same EHR as your individual sessions. Built by people who run a licensed PHP, IOP and outpatient program.

Program plan: $399/month for up to 25 clients in the program. Every Cima feature included.

A PHP group note in a demo program: one summary, each client's own entry
✓ PHP, IOP and OP on one chart✓ Per diem billed only on days that meet their hours✓ UR reviews prompted before authorizations end✓ 42 CFR Part 2 notices on releases

Groups

One group note, each client's own record

  • Groups on a weekly schedule, by level of care, in person or by video.
  • Write the topic and summary once; each client present gets their own entry: attendance, participation, response and the treatment-plan goal worked on.
  • The facilitator signs every entry at once with their PIN.
  • Entries that read alike are refused before signing, because payers claw back copied notes.
Groups and programsOne summary, each client's own entry, attendance against each level of care.

Attendance and billing

Hours counted from signed notes, not sign-in sheets

  • Each client-day's documented hours come from signed group entries (and individual sessions, if you count them).
  • Each level has its own day and week hours and per diem code. Defaults: PHP 4 hours a day with S0201, IOP 3 hours a day with H0015. Change them to match your contracts.
  • A day that meets its hours becomes one per diem charge; a short day shows in red instead of being billed.
  • Bill as a professional claim (837P) or a facility claim (837I, UB-04) with your revenue codes.
Attendance by day, green where the day meets its level's hours

Utilization review

Continued-stay reviews before the authorization runs out

  • Authorizations tracked on each chart, with the review prompted 5 days before the last authorized day.
  • The continued-stay review asks for what reviewers ask for: progress, current symptoms and risks, the six ASAM dimensions, why a lower level can't safely do it, and the step-down plan.
  • Step down PHP to IOP to OP on the same chart, with the history intact.

Everything else a program needs

Intake to discharge

Intake assessment with the substance use history, treatment plans, progress notes and the discharge summary, with PHQ-9 and GAD-7 done on the client's phone.

Part 2 releases

Records released under a 42 CFR Part 2 consent carry the federal notice to the recipient. Every view of a chart is logged.

Roles that fit a program

Counselors see their caseload, associates' notes go to a supervisor to co-sign, billers see claims but never notes.

Insurance checked

Coverage checked automatically the evening before each insured visit, and Quick VOB for admissions: benefits from a card photo while the caller is on the line.

Opening a program?

We've done it. We'll do it with you.

Cima Consulting takes a program from plan to first admission: the Texas HHSC license application, the policy manual, the clinical program, facility credentialing with 8 plans and the Cima Program plan set up, on a dated roadmap for a flat fee.

Questions programs ask

Can we bill per diem on a UB-04?

Yes. Choose the facility claim (837I) with your revenue codes per level (defaults 0913 for PHP and 0906 for IOP) and your type of bill, or the professional claim (837P) many commercial contracts use.

Are individual sessions billed on top of the per diem?

By default, individual sessions on a per diem day are part of the per diem. If your contracts pay them separately, switch that on and they're billed on their own.

We're coming from another EHR. What moves over?

Your client list imports from a spreadsheet in minutes. We'll help you plan the cutover so current clients' authorizations and treatment plans are on Cima before the first group. How switching works.

What if we have more than 25 clients in the program?

The Program plan covers up to 25 clients in the program at once. Running a larger program? Talk to us and we'll work out the plan with you.

Your next group, documented and billed right.

Free for 30 days. We'll set up your levels, groups and codes with you. Take the tour first.
