For group therapy, counseling and psychiatry practices
One practice. Every clinician's caseload. One clear view for the owner.
Each clinician works their own caseload. Associates' notes go to their supervisor to co-sign. Your biller and front desk get their own logins, free. And you see the whole practice, by clinician, without a spreadsheet.
Solo plan $59/month for the first clinician, $39/month for each one you add.

Caseloads
Each clinician works their own list
- A clinician sees their own clients: the ones assigned to them, and anyone booked on their calendar. Covering for a colleague? Book the visit and the chart opens to you.
- Their Today shows their visits, the notes they owe and what's waiting for their signature.
- Each sets their own bookable hours for the practice's booking page, and gets their own private calendar feed.
- The calendar shows one clinician or everyone. Move a client to another clinician in their details.
- Claims carry the rendering clinician's NPI with the practice's own NPI and tax ID.

Supervision
Associates' notes go straight to their supervisor
- Notes by an LPC-A, LMFT-A, LCDC-I, intern, tech or peer specialist wait for a licensed clinician's co-sign. A credential Cima doesn't recognize is co-signed too, to be safe.
- The supervisor sees each one on their Today, even for clients who aren't theirs, and can review and sign them in a row with their PIN.
- The charge isn't created until the note is co-signed, so nothing is billed early.
- Licensed clinicians (LPC, LCSW, LMFT, psychologists, NPs and physicians) sign their own notes.
- The owner's Today folds in the team's notes that aren't done yet.

For the owner
See the practice by clinician, in one screen
- By clinician: visits booked and seen, no-shows, late cancels, notes owed, billed and collected.
- Active clients and visits per clinician, and the share of notes signed within 72 hours.
- What insurance and clients owe by age and payer, and denial reasons in plain English.
- PHQ-9 improvement by clinician, for the owner only.
- By week or month, compared with the period before. Every chart downloads as a CSV.

A login for everyone, sized to their job
Roles are enforced by the server, so a biller never receives note text, even by accident.
Owner
Everything: settings, team, fees, reports, the subscription and the access log.
Clinicians
Their caseload, calendar, notes and signing. $39/month each after the first.
Biller Free
Claims, insurance checks, payments, AR aging and the 837 and CSV exports for every client. Never the text of a note.
Front desk Free
Books visits, accepts online booking requests, sends paperwork and takes payments. Today shows what each client owes and whether their consent is signed.
Running the team
Invite by email
Pick the role and credential. The invite link lasts 7 days, and they set up two-step sign-in when they join.
When someone leaves
Turn off their login. Their signed notes stay in each chart, and you move their clients to another clinician. Seats follow the team on your bill.
One way to sign in
Passkeys for everyone, and the owner decides whether password-plus-code sign-in stays on. A lost phone? Send a reset link from Team.
Practice-wide settings
One fee schedule, one set of visit types, consents and reminders, and your logo on every printed document.
Who opened what
Every chart view, print, export and signature is in the access log, for the owner to check.
Bring every caseload over
Import each clinician's client list from a CSV, choosing whose clients they are as you go.
Switching EHRs →Priced per clinician, not per login
Each plan includes one clinician. Each owner or clinician with a license after that is $39/month. Billing and front-desk logins are free.

Next step for some groups
Add an IOP when you're ready
The Program plan adds levels of care, group notes, attendance hours, per diem billing and continued-stay reviews, on the same charts your clinicians already use.
See Cima for IOP and PHPCima Consulting's Group Practice Launch covers the group NPI and contracts, credentialing each clinician, and a supervision plan, for a flat $7,500.
See launch packagesQuestions group practices ask
Does an owner who doesn't see clients take a seat?
No. Seats count the owner and clinicians who have a license on their profile. A non-clinical owner with three clinicians pays the plan price plus two added clinicians.
Can clinicians see each other's clients?
No. Each clinician sees their own caseload and anyone booked on their calendar. The owner, biller and front desk see every client, within their role: the biller and front desk never see note text.
We have one nurse practitioner and several therapists. Which plan?
The plan is for the whole practice. A practice with a prescriber takes Solo Prescriber ($129/month), and every added clinician is $39/month whether they prescribe or not. E-prescribing is coming soon; we'll switch it on as soon as it's live.
Who can co-sign a supervisee's note?
Any clinician with an independent license in the practice. The note waits on their Today, they review it and sign with their PIN, and only then is the charge created.
Can our biller work from another office?
Yes. Cima runs in the browser. Billers sign in with their own two-step login, see claims and payments for every client, and can download claims as standard 837P files for an outside billing system.
